Crypto tax software makes one part of reporting easier: it collects data and applies calculation rules at scale. But a wallet export is not a tax return, and a green “all transactions reviewed” indicator is not proof that the underlying history is complete.
The difficult work sits between raw records and filed forms. That middle layer is where transfers are matched, missing basis is reconstructed, DeFi activity is interpreted, broker statements are reconciled, and assumptions are documented.
Step one: build the full universe of records
The process starts with every exchange, wallet, blockchain, and protocol used during the year.
Centralized exchanges may provide CSV files or API connections. Self-custody activity may have to be collected from public addresses. NFT marketplaces, staking providers, and DeFi platforms can each require a different source.
The first goal is completeness. If an asset was acquired in one account and sold in another, both sides are necessary to calculate gain or loss.
Step two: normalize the data
Different platforms use different timestamps, symbols, fee conventions, and transaction labels. Wrapped tokens and bridged assets can be especially confusing because the same economic position may appear under different contracts or chains.
Normalization converts these records into a consistent ledger. Token identities are resolved, timestamps are aligned, fees are separated, and duplicates are removed.
Without this step, the same activity can be counted twice or assigned to the wrong asset.
Step three: match transfers
A transfer between wallets owned by the same taxpayer is not the same as a sale. Software attempts to match transfers by time and quantity, but network fees and delayed deposits can prevent an automatic match.
The reviewer compares addresses, transaction hashes, timing, and amounts. A matched transfer should carry the acquisition history to the receiving account.
This is one of the most important controls in the file. Treating a transfer as a sale can create a false gain. Failing to carry basis forward can make a later disposal appear to have zero basis.
Step four: classify economic activity
Simple trades are only part of modern crypto activity.
A DeFi user may deposit collateral, borrow assets, add liquidity, receive pool tokens, claim incentives, bridge to another chain, and unwind the position later. The blockchain records each smart-contract interaction, but it does not provide a tax conclusion.
The reviewer has to determine what happened economically and apply the relevant tax treatment. That requires facts, judgment, and documentation.
Step five: establish and test cost basis
Digital assets are treated as property for federal tax purposes. When an asset is disposed of, the taxpayer generally calculates gain or loss using proceeds and adjusted basis.
The reviewer checks acquisition records, lot selection, holding periods, and basis carried across transfers. If the file uses specific identification or another lot-selection method, the records should support the method applied.
This is also where missing history becomes visible. A deposit with no prior acquisition may require records from an older exchange, a wallet, or a previous tax year.
Step six: reconcile broker forms
Form 1099-DA is now part of the reporting environment. The IRS says brokers use it to report digital asset proceeds and, in some cases, basis.
The form should be compared with the reconstructed ledger, not imported without review. A broker may not have the full basis history for assets transferred into its custody. The taxpayer may also have reportable activity outside the broker.
If a form is incorrect, the IRS directs taxpayers to contact the issuer for a correction and retain the related records.
Step seven: map the ledger to tax forms
Once the transaction history is reviewed, the resulting categories flow to the return.
Capital transactions commonly feed Form 8949 and Schedule D, subject to the form instructions. Rewards, compensation, mining, and business activity may require different forms or schedules.
The preparer should be able to trace the number on the return back to the supporting ledger.
Step eight: preserve the workpapers
A complete file should show how transfers were matched, how basis was established, what classifications were used, and which items remain uncertain.
This is where a specialized crypto tax accountant earns the description. The value is not typing totals into tax software. It is producing a record that connects on-chain activity to a supportable return.
Software is a tool, not the reviewer
Crypto tax software is useful and often necessary. It can process records faster than a person and make inconsistencies easier to find.
But software cannot know every wallet owner, infer every economic relationship, or resolve every ambiguous smart-contract interaction. Those decisions still require a taxpayer or professional who understands the activity.
The best workflow uses software for scale and a disciplined review process for judgment.
